If your multifunction printer's fax is dead, it's usually the phone line wiring, the fax header, or a VoIP incompatibility. Here's how to fix each.

1. The Phone Line Wiring (90% of cases)

Had a client last month whose whole office couldn't receive faxes on their Brother MFC-L8900CDW. They'd replaced the toner, reset the network, even called their phone provider. Turned out someone had plugged the fax line into a wall jack that was wired for data, not voice. Simple fix once we found it.

The number one reason fax fails is that the phone line isn't wired correctly. Fax machines need a dedicated analog line — no DSL filters, no splitters, no digital VoIP ports. Here's what to check:

  1. Unplug the phone line from the MFP and plug it into a regular landline phone. Can you hear a dial tone? If not, the line's dead — call your phone provider.

  1. Go into the fax setup menu and look for "Station ID" or "Fax Header". Enter your company name and fax number exactly as you want them to appear on outgoing faxes. On a Brother MFC, it's under Fax > Setup > Station ID. On an HP, it's Setup > Fax > Fax Header.
  2. Set the date and time correctly. Fax machines embed this in the header, and if it's wrong (say, year 2000), some machines reject the transmission. I've fixed Epson Workforce printers just by correcting the clock.

This is why your fax might work when you plug it into an analog line but fails on your VoIP system.
